Key Responsibilities
Defects Management
- Receive, assess, and manage reported defects, maintenance requests, and operational issues across managed properties.
- Conduct site inspections to identify defects, determine corrective actions, and establish repair priorities.
- Monitor defects from initial reporting through to successful completion and closure.
- Maintain accurate records of defects, repair progress, and completed works.
Client and Stakeholder Communication
- Serve as the primary point of contact for clients, property owners, tenants, and other stakeholders regarding defects and maintenance matters.
- Provide regular updates on the status of repairs and defect rectification works.
- Handle client concerns professionally and ensure the prompt resolution of issues.
- Build and maintain positive relationships with clients and stakeholders.
Coordination of Repairs and Maintenance
- Coordinate repair and maintenance activities between subcontractors, the in-house maintenance team, suppliers, and property owners.
- Schedule and supervise works to ensure that quality standards and deadlines are met.
- Ensure that all contractors comply with company policies, health and safety regulations, and project specifications.
- Follow up on outstanding works and ensure their timely completion.
Costing and Budget Management
- Assess repair requirements and prepare cost estimates for defect rectification and maintenance works.
- Obtain and evaluate quotations from subcontractors and suppliers.
- Monitor repair costs and ensure that works are completed within approved budgets.
- Coordinate with the Construction Department regarding defect responsibility and the allocation of costs between construction and property management budgets.
Reporting and Administration
- Prepare reports on defects, maintenance activities, costs, and performance indicators.
- Maintain organized documentation, including quotations, work orders, invoices, and completion certificates.
- Assist in the development and improvement of defect management procedures and service standards.
Qualifications and Experience
- Certificate, Diploma, or other relevant qualification as a Foreman, Construction Supervisor, Technician, or a related field.
- Minimum of 3–5 years of experience in property maintenance, defects management, construction supervision, quality control, or a similar role.
Skills and Competencies
- Good command of the English language, both written and verbal.
- Practical site experience in finishing works, defect rectification, maintenance, and handover/after-sales activities.
- Ability to prepare simple written reports, defect lists, progress updates, and photographic records.
- Good knowledge of health and safety requirements on construction sites.
- Ability to coordinate subcontractors and in-house maintenance teams effectively.
- Ability to work under pressure and manage multiple priorities.
- Strong problem-solving and decision-making skills.
- Attention to detail and a commitment to quality.
- Proficiency in Microsoft Office applications.
- Ability to work independently while maintaining strong teamwork and collaboration.
